Fee Waivers

Fee Waivers for Employees, Spouses of Employees and Dependents of Employees

Board Policy 440.1 extends educational benefits at reduced rates to full-time (100% appointed) University of Arkansas employees.A new waiver is required for each fall, spring, and summer semester. Each employee must meet the requirements for discount eligibility listed below. The Fayetteville campus has implemented policies and procedures regarding Employee Fee Waivers which are also listed below.

IMPORTANT: For employees taking classes during the Fall 2008 semester, registration will begin on August 22, 2008. If an exception to the registration period is required for your degree program, please click here for your college representative.

Complete the form online, print and send it to the Treasurer's Office. Payroll deduction is available for Fayetteville Campus employees to pay the remaining balance after the discount is applied. Please refer to the Payroll Deduction page for more information. If you have any questions on completing the form, contact the Treasurer's Office. These forms require Adobe Acrobat Reader.

The University of Arkansas Staff Senate provides a scholarship to at least one full-time University of Arkansas staff member wishing to attend classes to assist in employee development through higher education. Employees wishing to take classes are encouraged to visit the Staff Senate website at http://www.uark.edu/ua/stsenate/scholarawards.html#scholarship for additional information regarding this scholarship. The scholarship application is available on-line from their website. This scholarship is not available for spouse/dependents and is granted based on funds available to the program.

Employee Procedure
Complete the form and obtain the immediate supervisor's signature. Take the completed form to the Treasurer's Office located in room 215 of the Administration Building for certification of eligibility. The Treasurer's Office will apply the discount to your account. You will receive a copy of the completed form for your records. Pay the student account balance due by the payment deadline or you will be subject to late fees.

Note: Off-Campus Employees must take the completed form to the designated campus authority for certification of eligibility and mail the forms to the Treasurer's Office, Administration Building room 215, Fayetteville AR 72701.

Eligibility Information
Full-time (100% appointed) employees employed as of the final day of regular registration in any particular semester or session are eligible. (100% appointment to be verified by the Treasurer's Office.) All employees must meet normal admissions requirements for undergraduate or graduate studies.

Cost Information

Registration Fee Charges: This policy allows for a percentage of registration fees to be discounted at the employee’s home campus.

  • Employees with a record of employment and record of enrollment prior to July 1, 2005 will be granted a scholarship for the difference of 10% of tuition and $5.00 per credit hour. This scholarship is extended only to employees that have been continuously attending classes prior to and after July 1, 2005.
  • Employees that do not have a record of employment/record of enrollment prior to July 1, 2005 will be charged 10% of the cost of tuition.
  • Employees enrolled in online courses are responsible for paying any additional course-specific tuition charges above the regular rate.
  • IMPORTANT: A record of enrollment is defined as having a conferred grade in a course.

    This policy allows a 70% discount of registration fees at other University System campuses. Note: The discount covers the registration fee alone. Contact the Fayetteville Cashier's Office for information regarding any mandatory fees that will be charged.
    Fall and Spring Semesters: Registration fee discounts will be approved at a maximum of 11 hours. Additional enrollment will be charged the current hourly rate.
    Summer Sessions: Registration fee discounts will be approved for a maximum of 6 hours for the entire summer term where dates of enrollment are non-concurrent.
    Exclusions: Non-Resident tuition charges are not covered by this policy. Law School, Medical School, and Correspondence course fees are not covered by this policy.

    General Limitation Information

    Employees are limited to eleven (11) hours at reduced rates per regular academic session (fall or spring). Only one course per regular academic session (not to exceed five hours) may be taken during working hours. And no more than eight hours may be taken in the regular academic year (fall and spring) during working hours. Hours taken outside of regular working hours at reduced rates are limited to nine per regular academic session.

    Approval Information
    Any release time during regular working hours must be approved by the employee's immediate supervisor. The immediate supervisor must have the authority to approve release time during regular working hours, otherwise approval must be granted at the next highest level where such authority formally exists.

    Benefit Time Limit Information
    To be eligible for fee discount, the Employee Request for Registration Fee Discount form must be submitted and processed prior to the end of the semester in which the course is taken.

    Employee Procedure
    Complete the Spouse/Dependent Information and the Employee Information sections on the Fee Discount Form. Take or campus mail the completed form to the Treasurer's Office located in room 215 of the Administration Building. Pay the remaining balance due or make payment arrangements by the payment deadline. A copy of the form will be forwarded to the Financial Aid Office for credit to the student's account.

    Note: Off-Campus Employees must take the completed form to the designated campus authority for certification of eligibility and mail the forms to the Treasurer's Office, Administration Building room 215, Fayetteville AR 72701.

    Eligibility Information
    The student must be a spouse or dependent child that is under the age of 24* of a full-time employee on 100% appointment. The employee's appointment must be in effect on the final day of course registration for the semester that the discount is requested. Each spouse and/or dependent child must meet normal admission requirements.

    Cost Information
    Registration fee discounts are available at any campus in the University of Arkansas system. A 50% discount of registration fees is available at the employee's campus and a 40% discount is available at other University of Arkansas system campuses.

    Students enrolled in online courses are responsible for paying any additional course-specific tuition charges above the regular rate.

    Limitation Information
    Eligible spouses and dependent children may take up to 132 undergraduate credit hours at the reduced rate. Dependents or spouses enrolled in Graduate School, Law School or Medical School are not covered by this policy. Correspondence courses are not covered by this policy. Registration fees are the only charges that are discounted.

    Scholarships for Eligible Employee Dependents
    The University of Arkansas funds some scholarships for dependents who are also eligible for tuition remission. The dependent fee waiver is first applied to the student's tuition and fees and the University scholarship is applied to any remaining tuition and fees and room and board. The dependent fee waiver and scholarship together can not exceed the total tuition and fees and room and board for the student.

    Benefit Time Limit
    To be eligible for the fee discount, the University of Arkansas Fee Discount Form, Spouse/Dependent of Employee form must be submitted and processed at the time of registration for class. If the form is not properly processed prior to the fee payment deadline of the semester in which the course(s) is (are) taken, then a late fee may be assessed.

    Definitions of Terms Used

    Regular Working Hours: The employee's normal assigned hours. The lunch period and breaks are considered a part of the normal working day; therefore, a class taken during these times will be considered as requiring release time approval.
    Release Time: Time taken during regular working hours when the employee will be taking courses at reduced rates. Release time, if granted, can be approved in one of two ways: (a) released from regular working hours, but requiring the employee to take annual leave for all hours in class, or (b) released from regular working hours without annual leave deductions.
    Granting of Release Time: Release time, in either form, is not a right, but a privilege which is granted at the discretion of the supervisor. This policy does not assume that release time from regular working hours will automatically be permitted. Many factors, including but not limited to, regarding employee performance, direct applicability of the course work to the employee's position, overall benefit of the course work to the employee and the institution, and maintenance of office hours and functions for the students, faculty, staff, and the general public are considered when granting release time.
    Immediate Supervisor: The person that has the authority to approve enrollment at reduced rates and/or regular working hours. All enrollments at reduced rates must be approved by the employee's immediate supervisor, and certified by the campus as meeting the requirements and restrictions of this policy.
    * Dependent Child: The dependent child, as defined by the Internal Revenue Service, cannot attain the age of 24 during the calendar year and receive the tuition discount for any term within that calendar year.
